Voice Messaging Without Owning Hardware
By Mike Dailey
If you have been considering a voice messaging system for your company, or are planning an upgrade to your existing system, don't overlook the possibility of using a voice messaging service. The only equipment necessary to access these systems is a touch tone phone.
Several companies offer voice messaging service using equipment located at their site which is often networked in a way that can provide national coverage for your office locations. When networked, off-site voice messaging service emulates a large system by covering all office locations. One message can be sent to all locations simultaneously, or one message can be sent across town, across the nation, or internationally. This service can be especially effective for companies that have offices across the U.S., where installing separate voice mail systems in each location and networking them would be very costly. ( Consider the impact on budgeting issues for those businesses with heavy phone traffic.)
The following features are provided by the best of the voice messaging systems:
The voice messaging companies charge a monthly fee for each voice mail box and often bill on a quarterly basis. Using a voice messaging system eliminates the capital expense of buying a system.
- Answer your business phone line on ring no answer or call busy and provide voice menu for multiple voice mail boxes, transferring to a mail box of the callers choice.
- Provide the caller with the ability to select priority messaging and system dial pager or transfer caller directly to telephone numbers that have been reprogrammed, a cell phone, etc.
- Message broadcast to multiple mail boxes or multiple sites with one message, accomplished by using a distribution list.
- Return receipt of sent messages once read by receiver.
- Toll saver feature when retrieving messages. The system notifies you of no messages by letting your voice mail box ring one time if you have no messages.
- The system can provide auto attendant type features by handling all incoming calls and providing a voice menu of mail box choices or the option to connect directly to a live attendant.
- Receive fax mail and store for retrieval by user and send to any fax machine or transfer to other mail boxes.
- Fax on demand service. Customers can access company information from voice menu and system will send them the selected fax.
